Privacy Policy

How FleetFixs collects, processes, secures, and governs personal and operational data across platform services.

1. Scope and Controller Information

This Privacy Policy applies to FleetFixs websites, platform modules, mobile interfaces, and support channels used by customers and prospects. FleetFixs acts as a data controller for website and account administration data, and as a data processor for operational customer data processed on behalf of customer organizations.

2. Categories of Data We Collect

We may process identification and account data (name, business email, role, company), technical data (IP address, browser, device metadata, logs), operational data (vehicle identifiers, GPS coordinates, route history, driver activity, work orders, maintenance records, inventory transactions), and customer support communications.

3. Lawful Basis and Purposes of Processing

We process data to perform contractual obligations, provide and secure services, monitor system reliability, deliver customer support, and meet legal obligations. Where required by applicable law, we rely on consent for specific processing activities and provide opt-out mechanisms for non-essential communications.

4. Data Sharing and Subprocessors

FleetFixs may share data with approved infrastructure, hosting, analytics, communication, and support vendors under written data processing obligations. We do not sell personal data. Access is restricted by role-based controls and limited to personnel and subprocessors with a legitimate business need.

5. International Transfers

Where cross-border data transfers occur, FleetFixs applies contractual and technical safeguards appropriate to applicable data protection laws, including transfer mechanisms required by relevant jurisdictions.

6. Retention and Deletion

We retain personal data only for as long as necessary to provide services, comply with legal requirements, resolve disputes, and enforce agreements. Customer operational data is retained according to subscription settings and contractual terms, and is deleted or returned upon valid termination requests where legally permissible.

7. Security Measures

FleetFixs applies administrative, technical, and organizational safeguards designed to protect confidentiality, integrity, and availability of data, including encrypted transmission channels, access control policies, tenant isolation controls, and service monitoring procedures.

8. Data Subject and Customer Rights

Subject to applicable law, individuals may request access, correction, deletion, portability, or restriction of personal data. Customer administrators are responsible for handling end-user requests for data held within their tenant and may contact FleetFixs for implementation support.

9. Children and Sensitive Data

FleetFixs services are designed for business use and are not directed to children. Customers must not upload special category or sensitive personal data unless expressly authorized by contract and supported by appropriate safeguards.

10. Policy Changes and Contact

FleetFixs may update this Privacy Policy to reflect legal, operational, or product changes. Material updates will be posted on this page with a revised effective date. For privacy requests or inquiries, contact support through the FleetFixs support channel with your organization and tenant details.
